Managing Contact Custom Fields

Custom fields allow you to extend a database with additional fields of information beyond the default fields. Adding a custom field to your contact database allows you to add extra fields of information about your contacts - such as industry categories, custom membership numbers, or dietary preferences.

This guide shows you how to create and manage custom fields.

Create a Contact Custom Field

  • Go to Dashboard > Customers > Contacts > Custom Fields.
  • Click New Field.
  • Enter a Label to be shown to users (e.g. "Industry").
  • Enter a Description to be shown alongside the field.
  • Enter a Field Name - used as the field ID when referencing the custom field in forms.
  • Select a Field Type: See the Custom Field Types Reference below.
  • (Optional) Enter any required values (eg. dropdown options).
  • Configure the visibility and behaviour toggles.
  • Click Save Field.

Edit a Contact Custom Field

  • Go to Dashboard > Customers > Contacts > Custom Fields.
  • Find the custom field you want to edit.
  • Click Edit
  • Make your changes
  • Click Save Field.

Custom Field Types Reference

Choose a Field Type to suit the information you want to store. These are the labels shown in the field editor:

  • Text < 255 characters: A short, single-line text field.
  • Text > 255 characters: A larger, multi-line text field.
  • Number: A whole number.
  • Number with Decimals: A number with decimal places.
  • Percentage: A percentage value.
  • Date: A calendar date.
  • Date with Time: A date and time.
  • Yes / No: A checkbox for a yes or no value.
  • Combo Box: A dropdown for choosing one of your predefined options.
  • Check Boxes: Multiple selections from your predefined options.
  • Radio Buttons: A single selection from your predefined options.
  • Image Upload: An image attachment.
  • File Upload: A file attachment.
  • Code: Text edited in a code editor.
  • Linked Contact: A link to an existing contact.
  • Linked Product: A link to an existing product, available when Products is installed.
  • Custom UI: An advanced option for configuring the form markup and data type.

For Combo Box, Check Boxes and Radio Buttons, enter the choices under Field Values.

Using Custom Fields in Forms

Custom fields can be included in forms throughout your website. When the form stores, registers or subscribes a new contact, custom field values are automatically saved to the contact record.

To configure a form field to populate data into a custom field - set the ID of the field within the form to use the Field ID of your newly created custom field (eg. contact_industry). 

Deleting a Contact Custom Field

Warning - Deleting a custom field permanently removes the field and all data stored in that field across every contact record. This action cannot be undone. Ensure you have exported or backed up any important data before proceeding.

Steps to Delete a Contact Custom Field

  • Go to Customers > Contacts in the Oncord Dashboard.
  • Click the Custom Fields link located in the menu at the top of the page.
  • Locate the custom field you wish to delete.
  • Click menu associated with the custom field, followed by Delete.
  • Confirm the deletion when prompted.
